May I Use A Spreadsheet Program To Record Notary Journal Entries?

New Hotline Resized 3I was wondering if I could use an Excel spreadsheet for my log (journal)?
J.G., Pennsylvania

Pennsylvania law does indicate that you may keep your journal in an electronic format, but there are certain requirements: “If the journal is maintained in an electronic format, it must be in a tamper-evident electronic format complying with the regulations of the department” (57 Pa.C.S.A. 319[b]). So, unless the Excel spreadsheet is tamper-evident and complies with regulations adopted by the Department of State, the answer is no.

Hotline answers are based on the laws in the state where the question originated and may not reflect the laws of other states. If in doubt, always refer to your own state statutes. – The Editors
