Notaries Offered ‘Free Trial’ Of Google’s Secure Email, Apps

The growing public and regulatory pressure to protect consumer’s personal information has Signing Agents looking for ways to improve their data security — a task that is essential and never-ending.

To help accomplish this task the National Notary Association has joined Google’s G Suite program — formerly known as Google Apps —  to offer Notaries a suite of email, cloud, and productivity tools that includes security and efficiency. Notaries are being offered a free 30-day G Suite trial.

Google’s G Suite lets you have more control over securing your multiple devices and data. You can keep all business information safe in a centralized and protected location all within reach of a computer, tablet or cellphone.

Cyber criminals target generic email accounts and can easily hack into email chains that carry various business communications, such as real estate transactions. Many NSAs use these common accounts which make them vulnerable for a cyber-hack without realizing it.

Maintaining a secure email account should be top priority for Signing Agents to keep customer and borrower information safe. The suite allows you to create a secure, professional business email. The email drive has spam protection, no ads, and 30GB of storage. You can set up a two-step verification that goes beyond just password protection. The suite allows you configure security and settings, keeping all information safe while offering 24/7 support.

Given that the suite is cloud-based, you can access saved files from any device and share them instantly. You can also host video meetings with Hangouts with up to 25 people. You can give presentations, share screens, and chat, all while you work on any device.

Additionally, you can purchase a custom domain through Google’s host partners. If you already have a domain name, you can use it after a simple verification process.

Hi Jessica! That's a perfectly reasonable question, don't worry. :) If you are an NNA member, you can log in to your profile at www.NationalNotary.org by clicking "Login" at the top of the page and entering your email and password. After you log in, select "My Benefits" from the left side of the page and then click "Download Notary Certificate Forms." Select your state from the drop-down menu and you can then download complimentary PDFs of your state's certificate wording.
