The terms “we” “us” “our” “NNA” or “National Notary” refer to the National Notary Association, and their corporate affiliates. By “you” we are referring to visitors and users of any part of our website, Platform or Services.
Our “Platform” is made up of www.nationalnotary.org, www.SigningAgent.com, www.NNASuretyBonds.com and all related websites, mobile apps, products, services or programs offered by the NNA.
KEY INFORMATION:
- We collect the Personal Information set out in the “Information We Collect” section of this Privacy Policy. Depending on the context, the information we collect from you may include your name, email, address, billing information and online identifiers like device identifiers and IP address.
- We use your personal information for the purposes set out in the “How We Use Your Information” section of this Privacy Policy below, including to provide you with our Services and Products or for purposes of targeted advertising.

The personally identifiable information we collect includes the information you submit to us. Because submission of such information is completely voluntary, you have a choice whether or not to disclose this information.
The NNA may require you to enter personal information, including your name, email address, home address and telephone number when you contact us with an inquiry through our Website. We will use such personal information for the sole purpose of contacting you with a response to your inquiry.
You also may register with the NNA by creating a “My NNA Profile.” To register, the NNA requires you to submit your name, email address, and to select a unique password. When creating your account, you must provide complete and accurate information on your own behalf using your own information, and you must keep your unique password secure. You alone are responsible for any activity that occurs on your account.
If you choose to place an order through www.NationalNotary.org, we require you to provide your name, shipping and billing address, email address, phone number and credit card information. This personal information is only used for order fulfillment, credit authorization, and to contact you regarding NNA business. Personal information for the role of credit card authorization may be shared with a third-party credit card processing center.
The NNA may collect information required by the states for Notary commissioning and auditing purposes, including but not limited to personal information data such as driver’s license or passport information. This information will be retained for the period designated by the commissioning state, even if you opt out or exercise your Right to be Forgotten in the European Union. Information collected for commissioning purposes may be shared with the commissioning state upon their request for the purposes of confirming commissioning information and/or auditing.
The NNA also collects certain information about your computer hardware and software. This information may include: your IP address, browser type, domain names, access times, referring website addresses and pages visited within NNA Websites. This information is used by the NNA for the operation of our websites, to maintain the quality of the services offered, and to provide general statistics regarding use of the NNA websites.
We and our service providers may also use cookies and web beacons when you visit our Site.
We may collect information about your mobile device including the type of device you use, operating system version, and the device identifier (or “UDID”), your mobile application identification and behavior, use, and aggregated usage, performance data, and where the application was downloaded from. This data collection occurs only once a year through the mobile application used exclusively during our annual NNA Conference.
In addition to the information outlined above, we may collect behavioral data such as browsing history, purchase patterns, and engagement metrics across our digital platforms. This information is used to create unified customer profiles within our Customer Data Platform (CDP) for personalization and analytics.
The NNA encourages you to review the privacy statements of websites you choose to link to from the www.NationalNotary.org so that you can understand how those websites collect, use, and share your information. Although you may find links to many third party sites on the NNA family of Websites, the NNA is not responsible for the privacy statements or other content on websites outside of the NNA family of websites.
Video Viewing Behavior
Your video viewing activity, including information as to whether you requested or obtained specific video materials or services, may be collected and shared by NNA with third parties, including, without limitation, service providers with whom we partner to provide our Products to you, as well as our advertising, social media and other business partners. By using our Products where videos are displayed, you consent to the collection and sharing with third parties of your video viewing activity, if any, with each such consent being valid for two years from the date of such use or until you withdraw your consent.
Certain laws may provide you with the right to object to the automated processing of your personal information. Please review these rights in the “Your State Data Privacy Rights” section below.

How We Use and Share Your Information
We may use the personal information we collect for various purposes including:
- To fulfill or meet the reason you provided the information. For example, if you share your name and contact information to request a price quote or ask a question about our products or services, we will use that personal information to respond to your inquiry. If you provide your personal information to purchase a product or service, we will use that information to process your payment and facilitate delivery. We may also save your information to facilitate new product orders or process returns.
- Indirectly from you. For example, from observing your actions on our Website.
- To provide, support, personalize, and develop our Websites, products, and services.
- To create, maintain, customize, and secure your account with us.
- To process your requests, purchases, transactions, and payments and prevent transactional fraud.
- To provide you with support and to respond to your inquiries, including to investigate and address your concerns and monitor and improve our responses.
- To personalize your Website experience and to deliver content and product and service offerings relevant to your interests, including targeted offers and ads through our Website, third-party sites, and via email or text message (with your consent, where required by law).

We may share your personal information with third parties, such as service providers, direct mail houses, or data exchange subscribers. We will never sell, rent, or lease your information to third parties for unrelated purposes.
The NNA may contact you regarding services, but we do not sell your information to external parties. We may use third-party services for specific tasks, like mailing, processing transactions, or analyzing data. These parties are required to maintain confidentiality and use the information solely for the designated purpose.
We may disclose your information as needed for legal compliance or to protect our rights. In the event of a corporate change in control, your information may be transferred to the new entity.
We use information collected through our Customer Data Platform (CDP) to deliver personalized experiences, including tailored recommendations, targeted communications, and dynamic segmentation for marketing campaigns.
Sales and Sharing of Personal Information
We may sell or share your personal information, but you can opt out of such sales or sharing. When we disclose personal information for business purposes, we enter contracts to ensure confidentiality and restrict use to the contracted purpose.

- NNA grants certain Data exchange subscribers access to our complete and up-to-date list of Active NSAs available to perform Mortgage closings.
- We inform our NSA Certificate customers that their information will automatically be shared on our NSA website as an official NNA NSA. Customers have the option to opt out entirely or to limit the amount of information shared for public access.
- Customers are also notified that their shared information may be disclosed to our Data Exchange subscribers, based on the visibility settings they choose on the NNA NSA share page.

The following are the types of data exchanges we currently share or may share with data exchange subscribers:
- Names,
- emails,
- the fact that they are NSAs available to perform Mortgage closings, and
- additional data fields our customers agree to share on our NNA NSA share page.
We occasionally hire other companies to provide limited services on our behalf, such as handling the processing and delivery of mailings, providing customer support, processing transactions, or performing statistical analysis of our services. We will only provide those companies the personal information they need to deliver the service. They are required to maintain the confidentiality of your information and are prohibited from using that information for any other purpose. See also the section below regarding background screenings.
We may use a third-party service to match browser cookies to your mailing address. We then use another company to send special offers through the mail on our behalf. We never receive or store any of this information and our third parties do not provide or sell this information to any other company or service. To opt out of receiving our direct mail, you may send us an email at services@nationalnotary.org, call us at 1-800-876-6827, or send a written request to the address at the bottom of this page. We will honor those requests, but please understand that it may take up to 45 days for such mailings to end.
Collection, Use and Sharing of Personal Information for Background Screening
When you apply for NNA certification to be a Signing Agent or other NNA certification, the NNA will engage a third-party service provider to conduct a background check on you. As part of the background screening process, we require that you provide your name, shipping address, email address and phone number. The NNA will transmit this information, in encrypted form, to our service provider for processing.
Once our service provider has received your information, it will send you an email directing you to a secure Website that will allow you to access the application for NNA certification. To complete your application, and to permit our service provider to conduct the required background screening, you will be asked to provide personal information, including your Social Security number, mother’s maiden name, date of birth, driver’s license number, as well as your email address and your home address. The personal information collected from applications will be used to obtain a consumer report to help us determine whether you meet the criteria for NNA certification, and thus, such information may be used for employment purposes in accordance with the Fair Credit Reporting Act. Providing this information, including your Social Security number, is voluntary and you may refuse. However, if you do not provide us with this information, we will not be able to process your application to obtain NNA certification.
The results of your background screening will be made available to the financial industry, title insurance companies, their affiliates and/or subcontractors, on SigningAgent.com.

Cookies
The NNA uses cookies to help personalize and enhance your online experience. A cookie is a small text file stored on your device by a web server. It is uniquely assigned to you and can only be read by a server in the domain that issued the cookie. Cookies cannot run programs or deliver viruses.
We use standard cookie technology to store your preferences, keep you logged in, remember items added to your shopping cart, and record session information to streamline your experience. For example, cookies allow us to save time by enabling automatic login for returning users of the NNA Community, and to recall items you’ve previously interacted with or purchased.

Control Your Data and/ or Effectuate Your Privacy Rights
We provide you with a variety of ways to control the personal information we hold about you, including choices on how we use that information.
- Account Settings. You may access, modify or delete your account, update your subscriptions and email newsletters associated with that account by following the steps below:
- As a Customer or NNA member, you may log in to the NNA Community and select My NNA to view and/or edit your personal information at any time. Please keep in mind that changing your address after an order has been placed will not change the shipping address for the order. To make a change to a shipping address after placing an order, you will need to contact customer service at 1-800-876-6827.
- As a Signing Agent, you may log in to My NNA and select Update Your Profile to view and/or edit your personal information within your listing on SigningAgent.com. All personal information included within your SigningAgent.com listing is considered “public” and is viewable by registered companies searching the SigningAgent.com Directory. The NNA urges you to be careful only to enter information on your SigningAgent.com listing that you are comfortable sharing with registered SigningAgent.com companies.
- In each case described above, you will be asked to make your requests while logged into a secure area, so that the NNA can associate your preferences with a particular account.
- Communication Preferences. As part of your NNA membership, you may receive periodic emails informing you of technical service issues, product surveys, featured news articles and news about NNA products and services. These emails provide an option for you to unsubscribe to future mailings.

- For email requests, it may take up to ten days for us to process your requests. For requests related to telephone calls, text messages, mobile service notifications it may take up to 30 days. If you adjust your postal mail preferences, it may take six to ten weeks before you stop receiving mail because postal mailings are prepared many weeks in advance.
- Regardless of your marketing communication preferences, we may still contact you for transactional or informational purposes, such as customer service, reminder or service notices, recalls, or information regarding your subscription or order(s).
- In the event that the Customer or NNA Member is denied access to this information for any reason, please contact our Customer Care department to resolve this access issue and/or to look up a user ID or reset a password to gain access. Password resets can be performed online on a self-serve basis as well.
- As a Customer or NNA member, if you have a concern that there has been a breach of your private information or our website, please contact customer service at 1-800-876-6827. We will immediately launch an investigation and report back to you any results of this search.
- Opt-Out of Targeted Advertising. We may use your information for targeted advertising purposes, as described above. To opt-out of targeted advertising or manage your preferences, click here.

Response Timing and Format
We endeavor to respond to a verifiable consumer request within forty-five (45) days of its receipt. If we require more time (up to 45 days), we will inform you of the reason and extension period in writing.
If you have an account with us, we will deliver our written response to that account. If you do not have an account with us, we will deliver our written response by mail or electronically, at your option.
Any disclosures we provide will only cover the 12-month period preceding the verifiable consumer request's receipt. The response we provide will also explain the reasons we cannot comply with a request, if applicable. For data portability requests, we will select a format to provide your personal information that is readily useable and should allow you to transmit the information from one entity to another entity without hindrance.
We do not charge a fee to process or respond to your verifiable consumer request unless it is excessive, repetitive, or manifestly unfounded. If we determine that the request warrants a fee, we will tell you why we made that decision and provide you with a cost estimate before completing your request.
- State-Specific Privacy Rights. If you reside in a state with a state privacy law, you may have additional privacy rights. Our State Privacy Rights section to this Privacy Policy includes instructions on how you may exercise those rights.
- Verification & Authorized Agents. You may use an authorized agent to submit verifiable consumer requests on your behalf. An authorized agent is a natural person or a business entity that you have authorized to act on your behalf. We will take reasonable steps to verify your identity and requests, including by verifying your account information, residency or the email address you provide. If you are an authorized agent submitting a request on behalf of another individual, we may require proof of your written authorization before processing the request. We may deny a request from an authorized agent that does not submit proper verification proof.
- Exempt Information. Certain information may be exempt from such requests under applicable law such as information we retain for legal compliance and to secure our Services. We may need certain information in order to provide the Products or Services to you; if you ask us to delete it, you may no longer be able to obtain the Products or use the Services.
- Non-Discrimination. You will not receive discriminatory treatment by use for the exercise of any of your privacy rights described herein.
Global Privacy Settings and Do Not Track
Some browsers and browser extensions support the Global Privacy Control (“GPC”) that can send a signal to the websites you visit indicating your choice to opt-out from certain types of data processing, including data sales. You and NNA agree that each party may bring disputes against the other party only in an individual capacity, and not as a plaintiff or class member in any purported class or representative proceeding, including, without limitation, a federal or state class action lawsuit. However, nothing in this section limits your right or NNA’s right to bring a lawsuit against each other as an individual plaintiff.
